How to Build Strategic Error Handling for Resilient Make.com™ HR Integrations

Most HR data discrepancies are not accidents. They are the predictable output of automation designed only for the scenario where everything works. The moment an API rate limit fires, a required field arrives empty, or a downstream HRIS times out, workflows built without error architecture either halt completely or silently pass bad data forward. Step 1 — Map Every Failure Mode Before You Build Anything

Resilient error handling starts on paper, not in the scenario editor. For each module in your HR workflow, document three failure conditions: the module receives no data, the module receives malformed data, or the downstream system is unavailable. This failure map becomes your build specification.

Walk through your scenario module by module and answer these questions for each step:

  • What does this module do if the upstream field is empty or null?
  • What HTTP error codes can this API return? (Check the API documentation — at minimum expect 400, 401, 429, and 500 series.)
  • If this module fails, does the rest of the scenario still need to run for other records?
  • Who is the correct human owner for a failure at this step?
  • What is the minimum information that person needs to resolve the failure without logging in to Make.com™?

  • Employment type: Value exists in an allowed list (Full-time, Part-time, Contract, Temp). Reject any value not on the list.
  • Email address: Passes a basic regex format check. Domain matches your expected pattern if the field is an internal email.
  • Pay rate: Is numeric. Falls within a defined sanity range (e.g., not zero, not above a ceiling you define per role type).
  • Department / Cost center: Matches a lookup table of valid values maintained in your logging destination or a Make.com™ data store.

When a record fails validation, route it to your error log and notification flow (built in Step 4) rather than attempting the write. Do not attempt to auto-correct validation failures — write the raw failed record to the log with the field that failed and the value that was received, so the owning team can make a human judgment about the correct value.

Step 3 — Build Custom Error Routes for Every Critical Module

Make.com™’s default behavior when a module fails is to stop the scenario and mark the run as an error. For HR integrations processing batches of records — new hires, benefits updates, payroll sync — this default is unacceptable. One failed record should not halt processing for every other record in the run.

For every module that writes to a critical HR system, right-click the module in the scenario editor and select Add error handler. Build a custom error route using the following structure:

  1. Break directive: Use the Break error handler (not Ignore, not Rollback) for write modules. Break stops the current bundle’s processing but continues the scenario for subsequent bundles. This is the correct behavior for batch HR processing.
  2. Capture error detail: Immediately after the Break, add a Set Variable module to capture: the error message, the error code, the bundle number, and the record identifier from the failed bundle.
  3. Write to error log: Pass the captured variables to your logging destination (Google Sheet, Airtable, or database). Include: timestamp, scenario name, module name, error code, error message, record ID, and the raw input data that caused the failure.
  4. Trigger notification: After the log write, trigger your alert (email, Slack, or ticketing system) with structured content — covered in Step 4.

Do not use the Ignore directive for HR write modules. Ignore suppresses the error and continues as though the write succeeded — the record is lost with no trace. In an HR context, this is not error handling; it is data loss with extra steps.

Do not use the Rollback directive unless your specific integration supports transactional rollback at the API level. Most HR APIs do not, and triggering a rollback directive against a non-transactional API produces unpredictable results.

Step 4 — Configure Retry Logic for Transient API Failures

Not every error is a data problem. A significant share of HR integration failures are transient: the downstream API was temporarily throttled, the HRIS was briefly unavailable during a maintenance window, or a network timeout fired during a large payload transfer. These failures are recoverable without human intervention — if your scenario is built to retry them.

For modules that interact with external APIs, configure retry logic as follows:

For Rate Limit Errors (HTTP 429)

  1. Add an error handler to the failing module using the Resume directive.
  2. Inside the error route, add a Sleep module with an initial delay of 30 seconds.
  3. After the Sleep, route back to the original module to retry the operation.
  4. Use a counter variable to track retry attempts. Set a maximum of 3–5 attempts before the route falls through to your Break and log flow.
  5. If retries are exhausted, write to the error log and alert — do not attempt the write again automatically. The failure at that point likely requires investigation of rate limit configuration or request batching strategy.

For Timeout Errors (HTTP 504 / Connection Timeout)

  1. Apply the same pattern as rate limit retries, but extend the Sleep delay to 60 seconds for the first retry and 120 seconds for the second.
  2. Keep maximum retries at 3 to avoid scenario runs that stall for excessive durations.
  3. Log the specific timeout error code and the target system — patterns here often indicate an upstream infrastructure issue that needs attention from the system owner.

  • Scenario name and ID: Exact name as it appears in Make.com™, plus the scenario ID for direct URL linking.
  • Module that failed: The specific module name within the scenario.
  • Error code and message: The raw error returned by the API — do not paraphrase it in the automation; pass it as-is so the recipient sees exactly what the system returned.
  • Record identifier: The applicant ID, employee ID, or transaction ID of the specific record that failed. This is the most important field — it enables the recipient to locate the affected person immediately.
  • Timestamp: UTC timestamp of the failure. HR compliance contexts often require this for audit trail documentation.
  • Recommended next action: A plain-language line that tells the recipient what to do first. Example: “Locate applicant ID 48821 in the ATS and verify hire date format before re-triggering the HRIS sync.” Write these recommended actions when you build the alert, not after an incident occurs.
  • Log link: A direct URL to the row in your error log for this failure, if your logging destination supports shareable row links.

Route alerts by severity. A validation failure on a single new hire record is not the same urgency as a complete failure of the payroll sync module on a Friday. Build routing logic that sends critical failures (payroll, benefits enrollment, compliance-adjacent) to a high-priority channel and lower-severity failures to a daily digest.   • Validation failures are caught before the write operation. Confirm by reviewing your error log — validation failures should never appear in your connected HRIS or payroll system; they should appear only in the log.

Common Mistakes and Troubleshooting

Mistake: Using the Ignore error directive on write modules

Ignore suppresses the error and moves on as though the write succeeded. In HR integrations, this means records are silently dropped with no log entry and no alert. Replace every Ignore directive on a write module with a Break directive connected to your log and alert flow.
